Parent and Chaperone Info for Grand Nationals Tour

Parents of AF Band Members,
 
Plans are well underway for the Marching Band's trip to Grand Nationals in Indianapolis this coming November.  The flights have already been secured, and a block of rooms have been set aside at the Embassy Suites North in Indianapolis.
 
For those parents and chaperones who are interested in traveling with the band, we do have seats available on the flights that we have secured, however, availability is limited.   The costs for a parent to travel with the band are lower than what it costs each student, that is because there are costs associated with the student's participation in this competition that are not being passed along to the parents.   Below is an outline of the costs for a parent to travel with the band, which vary depending on the number of people staying in each room.
 
Included in this price are the following:
1) All ground transportation in Indianapolis, including airport transfers.
2) Airfare
3) Three night stay at the Embassy Suites North in Indianapolis.
4) Full breakfast at the hotel (included in the price of the hotel).
5) Dinner with the band both Friday and Saturday evenings. 
 
All costs are PER PERSON.
1.  Six per room:  $730   This is somewhat crowded, but this is how the students will be housed.  All rooms will have two queen beds, and a sofa sleeper.  If you are comfortable with "doubling up", this is the least expensive way to go.
2.  Five per room:  $745
3.  Four per room:  $775
4.  Three per room:  $820
5.  Two per room:  $915  Rooms with one king and a sofa sleeper are available.
6.  One per room:  $1,190
 
The following items are NOT included in this price:
1.  All lunches.  The students will be given $10 to spend at the food court at a nearby mall on Friday and Saturday.
2.  Tickets to the competitions at Lucas Oil Stadium.
3.  Patches, souvenirs, and other memorabilia that the students may receive.
4.  Baggage fees with the airlines, if you choose to check your luggage.
 
If you would like to travel with the band, I will need the following information that is being required by the airlines:
1)  Full name, as it appears on your Driver's License.
2)  Gender
3)  Birthday (required by TSA)
4)  A phone number where you can best be reached.  This is optional for the airlines, but it would really help me should I need to contact you.
 
THERE IS A DEADLINE!!!  I need to know by August 5th if you would like to travel with the band.  The actual deadline is the following week, but I need the time to compile all of this information (for both the parents AND the students)  before submitting it to the airlines.
